What should a photography invoice include?

Your business name and contact details, the client's name, a unique invoice number, invoice and due dates, the shoot date and location, and one line per billable item: session or coverage fee, extra hours, second shooter, editing or retouching, prints and albums, travel, and (for commercial work) the usage license. Show any retainer already paid as a deduction so the balance due is unambiguous, then state how to pay and when images will be delivered.

Sales tax: check what you deliver, not just what you do

Sales tax on photography depends on your state and on whether the client receives something physical. One concrete example: in a 2020 advisory opinion, New York's Department of Taxation and Finance concluded that photographs delivered on a tangible medium (paper, CD and similar) are taxable sales if delivered in New York, photographs delivered only electronically are not, and the expenses related to a tangible photograph are part of the taxable receipt (TSB-A-20(66)S). Advisory opinions apply to the facts of the person who asked, and other states have their own rules, so confirm with your state's revenue department or your accountant before setting the Tax % field.

FAQ

How do I show a retainer or deposit on a photography invoice?

Enter the retainer in the Discount field as a fixed amount and change its label to something like "Retainer paid at booking", as in the example above. InvoiceSnap subtracts that line before tax, so if your invoice carries sales tax, leave the retainer out of that field and record it in the payment notes instead (for example "$1,000 retainer received June 3; balance shown excludes it"), so tax is calculated on the full price.

How do I bill a usage license for commercial photography?

Put the license on its own line and describe its scope in the description: where the images can be used (website, social, print, paid ads), for how long (for example 1 year), in which territory, and whether it is exclusive. A separate line makes it easy to quote a renewal or an expanded license later without re-pricing the shoot.

When should a photographer send the invoice?

Most wedding and event photographers invoice the retainer at booking and the balance a set number of days before the event, as written in their contract. For commercial shoots, invoicing on delivery of the final images with Net 15 or Net 30 terms is common. Whatever you choose, put the actual due date on the invoice, not just "on receipt".

Is an invoice the same as a photography contract?

No. The contract sets the terms: deliverables, cancellation and rescheduling, copyright and image use. The invoice requests a specific payment under that contract. Reference the agreement in the invoice notes so the two documents point at each other.

Is InvoiceSnap free?

Yes. You can fill in the invoice and download a watermarked preview PDF free with no signup. A clean PDF is $4 one-time for 7 days of unlimited invoices (USDC; card coming soon).

Is my data uploaded?

No. The PDF is generated in your browser; your client and pricing details are not sent to a server.
